Privacy Policy
What data we collect, why, who we share it with, and what rights you have.
Last updated: September 16, 2026
1. Data Controller
This website, ustaff.ee ("UnitedStaff"), is owned and operated by OpenWeb360 OÜ ("we", "us"), registered in the Republic of Estonia. For any questions about how we handle personal data, contact us at info@ustaff.ee.
2. What Data We Collect
We only collect data you voluntarily provide to us:
- Request forms (on the homepage and contact page): your name, email address, company name, message content, and optional fields such as role needed, headcount, and dates.
- Job applications: if you apply through the website's application form or by email (info@ustaff.ee), we collect the information you provide (name, contact details, work experience, languages, permits such as a health certificate or VST card, and a resume link if you include one).
- Employment records: if you are hired under an employment contract with us, we process additional data required by law (personal ID code, bank account, information needed for TÖR and MTR registration) — this happens as part of the employment relationship, separate from your use of the website.
This website currently does not use analytics or advertising cookies and does not track visitors through third-party services. If this changes, we will update this policy and request your consent where required.
3. Why We Process Your Data
- To respond to your inquiry and arrange staff placement (performance of a contract or pre-contractual steps).
- To manage employment relationships and comply with legal obligations (TÖR, MTR, and EMTA registration and reporting).
- For B2B communication under our legitimate interest (answering questions, offering our services to existing and prospective clients).
4. Who We Share Data With
We never sell your data to anyone. We share data only in these cases:
- Our technical service providers (e.g. hosting provider Vercel Inc.), who process data on our behalf under a data processing agreement.
- Clients where a worker is placed — only to the extent needed to arrange the specific shift (name, role, shift time).
- Government registers and authorities (Employment Register, Economic Activities Register, Estonian Tax and Customs Board), where required by law.
5. Data Retention
We retain data collected through request forms and job applications for as long as needed to respond to your inquiry, but no longer than 24 months from our last contact, unless the law requires otherwise. Employment-related data is retained for the periods required by law (generally up to 7 years after the employment ends, due to accounting and tax law requirements).
6. Your Rights
Under the General Data Protection Regulation (GDPR), you have the right to:
- find out what data of yours we process;
- request correction of inaccurate data;
- request deletion of data where there is no legal basis to keep it;
- restrict or object to processing;
- request your data in a machine-readable format (data portability);
- lodge a complaint with the Estonian Data Protection Inspectorate (aki.ee) if you believe we have violated your rights.
To exercise these rights, write to info@ustaff.ee. We respond within 30 days at the latest.
7. Security
We apply reasonable technical and organizational measures to protect your data against unauthorized access, loss, or misuse. This website runs over HTTPS encryption.
8. Changes to This Policy
We may update this policy from time to time, for example if our operations or applicable law change. The date at the top of the page always reflects the latest update.
